Senior Facility Coordinator – via Four FM/Wisag
Step into a key on-site role at the Berlin office of one of the world's most influential tech and audio companies. You'll be part of a vibrant, creative workplace — supported by Four FM's international team and Wisag's local expertise in delivering first-class Facility and Workplace Management solutions.
In this full-time, on-site role, you'll be the operational backbone of the Berlin office — ensuring smooth daily operations, managing suppliers and budgets, and maintaining a safe, efficient, and inspiring workplace.
You'll also collaborate with internal teams and regional Workplace Experience colleagues to implement best practices, drive improvements, and continuously enhance how employees experience the workspace.
- Take full responsibility for on-site facility operations, including maintenance, inspections, and compliance with building and safety standards.
- Manage service providers and contractors — ensuring quality, certifications, and cost control.
- Oversee work orders, project reporting, and digital maintenance systems.
- Handle budgeting, purchase orders, and invoicing in line with contractual and financial requirements.
- Support smaller regional offices (Hamburg and Düsseldorf) when needed.
- Ensure a welcoming, functional, and inspiring office environment that supports creativity and productivity.
- Partner with internal teams on onboarding.
- Plan and support internal events and activities that strengthen workplace culture.
- Anticipate employee needs and continuously improve the on-site experience — from functionality to aesthetics.
- Partner with regional Workplace Experience to align on global strategies and standards.
- Identify opportunities for process improvement, cost optimization, and sustainability.
- You will be using AI to enhance vendor management, reporting, and communication.
- Minimum 4 years of experience in facility coordination, integrated facility management (IFM), or office management within a corporate or creative environment.
- Strong understanding of building systems (HVAC, electrical, safety) and facility processes.
- Experience managing budgets, purchase orders, and supplier relationships.
- Excellent communication skills in English and German (spoken and written).
- A hands-on mindset with the ability to prioritize, plan, and solve problems independently.
- A valid B-class driver's license is an advantage but not required.
