To strengthen our corporate team in Munich, we are looking for a highly organized and proactive Executive Management Assistant (m/f/d) to support our Group Management Team. The role includes support to the C-suite, management of Veonet's corporate office and day-to-day co-ordination of HR, legal and company secretarial matters on behalf of the Veonet Group team. Some prior experience of HR and legal matters would be beneficial. The role works alongside a second Executive Management Assistant who takes the day-to-day lead in supporting the Group CEO.
- Provide comprehensive administrative and organizational support to the Executive Management Team (C-suite)
- Serve as a central communication interface between the Executive Board, departments, subsidiaries, and external partners in both German and English
- Assistance with legal activities and various company secretarial tasks
- Handle document and data management, including maintenance of confidential corporate records, coordination of legal matters, and liaison with law firms, notaries, and authorities
- Oversee signature and invoice workflows, including pre-accounting and cost centre allocation
- Manage all HR-related activities, such as onboarding and offboarding of employees, coordination of HR projects and special tasks
- Manage complex calendars, schedule and coordinate meetings, business trips, and board/shareholder meetings in an international environment
- Manage day-to-day corporate office operations, including internal communications and process optimization and develop and improve internal office management structures, manage external service providers, and negotiate contracts
- Take responsibility for the Travel Management of the holding company, including travel bookings, expense reports, and vendor negotiations
- Prepare and edit presentations, reports, and decision documents for internal and external stakeholders
- Independently manage and coordinate special projects such as office improvements, IT initiatives, events and team activities
- Completed commercial training or university degree in business administration or a related field
- Several years of professional experience as an Executive Assistant or in a comparable role, ideally within an international organization
- A background as assistant in a legal, notarial, or law firm environment is considered an advantage
- Knowledge or prior experience in HR and legal coordination is a plus
- Strong organizational skills with a proactive, hands-on mentality and a high sense of responsibility
- Excellent communication skills in German and English, both written and spoken
- Proficient in MS Office 365 and modern collaboration tools
