Team: This pivotal role ensures the smooth day-to-day operation, working in close partnership with the designated Chair / Vice-Chair and their Counsellors. It requires seamless coordination in key administrative and logistical tasks that enable the team to focus on strategic priorities, working with colleagues across multiple global locations, fostering effective communication and teamwork within the IFRS Foundation and ISSB. The position demands a high degree of professionalism, adaptability and cultural sensitivity to navigate the complexities of an international organisation dedicated to sustainability standards.
Principal accountabilities:
Diary management: Extensive, proactive, and flexible diary management across multiple time zones, delivered with precision, strong follow-up, and close coordination with the Counsellors.
Complex travel arrangements and logistics: Coordinate complex and frequently changing domestic and international travel, including transport and accommodation bookings aligned with preferences, and securing visas and necessary documentation. Ensure all arrangements comply with the Foundation's travel policy. Manage flight check-ins and actively monitor transport logistics, adjusting the schedule in real time as needed due to delays.
Meeting coordination: Manage virtual and in-presence meetings logistics: provide and/or double check dial-in details, book appropriate meeting rooms, and handle restaurant arrangements.
IT support and troubleshooting: Provide proactive IT support (launch virtual meetings, help solving specific issues, etc;) and liaise with helpdesk when necessary.
Visitor reception: Welcome external visitors when applicable.
Expense management and reporting: Manage and pre-approve expense claims.
Administrative tasks: Record external engagements in Salesforce on a weekly basis. Deal with all administration: managing correspondence and drafting responses as required, get approval on signatory requests, document management, OneNote management, contact management and updates, business cards, etc.
Internal and external stakeholder engagement: Liaise with internal staff (eg other support staff, senior management, board members and Trustees) and external stakeholders at all levels (eg officials from government, senior figures from regulators, the accounting profession and other international bodies).
Provide general administrative support and undertake other ad-hoc tasks and projects as required.
Serve as an operational point of contact between the ISSB Leadership Office and senior internal/external stakeholders, ensuring professional and timely communication.
Required skills and experience
- Previous experience of supporting a senior-level executive in an international environment and managing complex travel and meeting arrangements across time zones (essential).
- Excellent organisational and administrative skills.
- High level of integrity and professionalism; ability to be discrete and manage confidential or sensitive information.
- Ability to work collegially and effectively with staff and stakeholders at all levels, both in-person and remotely.
- Strong oral and written English language skills.
- Resourceful and proactive approach, ability to work flexibly and manage multiple and diverse responsibilities, whilst maintaining composure and a high level of attention to detail.
- Proficiency in MS Office (Outlook, Word, Excel, SharePoint, Teams and PowerPoint).
