As Working Student or Part-time Office Manager (m/f/d) you will be part of a team that is responsible for the site management of our office premises in Düsseldorf. Currently at our location in the immediate vicinity of Königsallee and in the future in the new “Campus” with around 1,400 square meters near the Bilker Arkaden. The Campus will be a state-of-the-art, technologically innovative, and sustainably designed location for all employees of the WEPA Group. The construction phase is scheduled for completion in summer 2026.
The part-time position (19h/ 50%) is initially limited to one year as part of a parental leave replacement.
Your Tasks:
- Ensuring the day-to-day operations of the office premises and a smooth, professional and welcoming environment.
- Act as a key point of contact for stakeholders, colleagues, visitors, and external partners.
- Organize and coordinate community-building events, internal communications and team experiences.
- Coordination, preparation and follow up of internal events (meetings, workshops, conferences, events)
- Support the Leading Office Manager in the development and implementation of initiatives to enhance community engagement and workplace culture.
- Oversee facilities management, ensuring the office is safe, efficient and aligned with company standards.
- Support the Leading Office Manager in identifying and implementing improvements to office systems, processes, and services to support business goals.
- Support of the leading office manager in the construction phase of the new Campus
- Personality: You are motivated, empathetic, open minded, creative, strong in communication, attentioned to detail, technology-savvy and have great organization and teamworking skills
- Working: You work self-driven and goal oriented and can quickly adapt to new requirements with your hands-on mentality
- Background: You have practical experience in the field of office management, hotel business, project management, cultural work and/or similar
- Experience and Know-how:
- Experience in organization, (front) office management, administrative assistance and/or project management
- Experience in planning and execution of various event formats
- Interest and skills in unconventional approaches and solutions
- Conflict resolution skills
- Good knowledge in Microsoft 365
- Qualification: Completed commercial training or comparable qualification; alternatively, you are an enrolled student
- Languages: Very good German & English skills
