We are looking for a proactive and highly organized Assistant to support two Global Heads of Function (Manufacturing/Quality and Procurement) in an international, fast-paced, and English-speaking environment. This position offers a high level of responsibility, variety, and visibility across global teams and interfaces. Executive & Administrative Support

  • Provide comprehensive assistance to two Global Function Heads
  • Ensure smooth and professional daily operations within the office
  • Manage complex calendars, schedule meetings, and organize global workshops
  • Coordinate international travel arrangements and handle travel expense reports
  • Support the onboarding process for new team members
  • Coordinate administrative IT requests and manage purchasing activities (e.g. order tracking, receipt processing)

Organizational & Coordination Tasks

  • Review and manage incoming invoices
  • Act as a key user for administrative systems (easyAP, Jaggaer, Concur)
  • Prepare LEA reports (e.g. reporting for gifts and invitations) and complete necessary registrations for managers
  • Collect, organize, and distribute reports and key information
  • Maintain internal contact lists and ensure smooth information flow across global manufacturing sites
  • Provide annual financial statements from suppliers (e.g. via Dun & Bradstreet)
  • Collect and manage supplier compliance documentation (e.g. minimum wage declarations, business registrations, insurance certificates)

  • Successfully completed commercial education (e.g. Office Clerk, Office Administrator, or equivalent)
  • Proven experience in an assistant role, ideally in a multinational or corporate setting
  • Strong planning, coordination, and time management skills; able to work independently and with attention to detail
  • Excellent verbal and written communication skills
  • High degree of flexibility, discretion, and resilience under pressure
  • Enthusiasm for working in a collaborative, international environment
  • Fluency in English (spoken and written); knowledge of additional languages (e.g. French or Spanish) is a plus
  • Proficient in MS Office applications (Outlook, Word, Excel, PowerPoint)
