We are looking for an
Associate Curricular Affairs (gn)
full-time (40 hours per week), to start in December 2025. As cover for a parental leave, this position will initially be limited for approximately one year. The Associate will play a key role in the operational backbone of teaching at the Hertie School. The position combines responsibility for financial and contractual processes with opportunities to improve how we manage information, workflows, and data. It is well-suited for a detail-oriented professional who enjoys structure but is motivated to streamline and innovate administrative practices.
- Invoice management: Oversee the verification and submission of instructor and vendor invoices to the Finance Unit, ensuring accuracy, compliance, and efficiency in processing.
- Contract management: Prepare, track, and maintain instructor contracts in coordination with the Management Office and HR, contributing to the continuous improvement of contract workflows.
- Budget management: Record and validate expenses, support budget planning and forecasting, and help develop tools and methods that make budget oversight more transparent and data-driven.
- Instructor support: Serve as a key point of contact for instructors and Faculty Assistants, providing clear guidance on teaching-related procedures, deadlines, and administrative matters.
- Course logistics: Coordinate with internal units to ensure instructors have the necessary information and materials to deliver their courses effectively; update and enhance guidance materials for instructors.
- Scheduling: Allocate teaching timeslots and rooms, manage changes, and help optimise the use of classroom capacity through systematic scheduling processes.
- Administrative and process support: Contribute to the smooth operation and continuous improvement of the Curricular Affairs unit, including the development of new workflows, documentation, and software-supported solutions.
- A university degree, ideally complemented by relevant professional experience.
- Experience in higher education or non-profit administration is an advantage.
- Strong attention to detail combined with a structured and proactive approach to work.
- Familiarity with — or keen interest in — budgeting, expense tracking, and basic financial reporting.
- Solid data management and analytical skills, with enthusiasm for learning new tools, methods, and software that enhance administrative processes in higher education.
- A problem-solving mindset, intellectual curiosity, and the drive to build, optimise, and innovate administrative systems.
- Excellent interpersonal, collaboration, and intercultural communication skills.
- Fluency in English (essential); fluency in German is an asset.
