Job Description

Canada's official representation in Germany includes the Embassy of Canada in Berlin, as well as consulates in Düsseldorf and Munich. Members of the team work in a fast-paced multidisciplinary and international environment. The role of the three offices and their more than 100 Canada based and locally engaged staff is to develop the relationship between Canada and Germany across a number of areas.

The Common Services Program is responsible for the effective and efficient management and operations of the Embassy of Canada through the provision of high-quality common services to the Embassy and network of Canadian diplomatic missions in Germany.

The Embassy of Canada in Berlin is seeking a:

Common Services Assistant (m/f/d)


Under the general supervision of the Counsellor (Management) & Consul, otherwise known as the MCO, the Common Service Assistant is required to provide administrative support to the MCO and the Common Services Program. The individual will be responsible for managing the MCO's calendar, organizing events, preparing travel arrangements and travel claims as well as monitoring the MCO budgets items.

In addition, the individual will be responsible for a lead role in the management of mission Common Services protocol files, drafting official correspondence including letters and diplomatic notes, acting as a central communication point for annual relocation activities and being the program's information management coordinator. The position requires one to have excellent communication skills, client focus and organizational capabilities.


Essential qualifications include an Abitur or equivalent and at least one (1) year of work experience in providing administrative support such as managing schedules, screening documentation, reviewing files for completeness and accuracy, and at least one (1) year of work experience in client service or liaison with clients, internal and external stakeholders.

In addition, the ideal candidate has an advanced level of English and German (C1 equivalent) oral, written, comprehension and an intermediate level of French (B1 equivalent) oral, written, comprehension.


The position is full time (37.5 hours per week) and indeterminate. The starting salary is EUR 46,256 gross per annum. As per current terms and conditions which are periodically reviewed, additional benefits include a yearly bonus of 13th month's salary paid in November and a bonus of a 14th half month's salary paid in June, 30 days of annual leave, and a performance based annual salary increase.
