The EMBL IT Services operate and support the IT infrastructure and services at EMBL headquarters in Heidelberg and the laboratory's sites in Barcelona, Grenoble, Hamburg and Rome.


As Assistant to the Head of IT, you will support the Head of IT and the IT team in organisational and administrative matters, including the following key responsibilities:

  • Provide administrative support, including managing diaries, preparing documents, briefing papers, presentations and reports
  • Manage travel arrangements and reimbursements
  • Organise meetings, external visits, workshops and events
  • Prepare and update online communication, media, and related documentation
  • Invoice and payment tracking
  • Support the efficient communication of the department with the institute's leadership, stakeholders, users and suppliers
  • Support the department's international collaborations and projects in terms of communication and coordination
  • Perform additional tasks as required by the Head of IT

As our ideal candidate, you will be educated to a degree level or equivalent and possess excellent administrative and organisational skills. You will be able to pay attention to detail, be used to working towards challenging deadlines, and complete multiple parallel tasks efficiently and promptly while maintaining good humour. Equipped with strong interpersonal, verbal and written communication skills, you will be able to interact with people in a friendly and professional manner. You are an excellent team player, should be service-minded, possess good judgment, respect confidentiality, and are able to maintain effective working relationships in a multicultural environment. Excellent command of English is a must, and good knowledge of German is an advantage. Advanced skills in Microsoft Office are essential for this role.
